Ask what textiles the reference sends, how often collections occur and whether it owns or rents the stock. Establish the approximate operating model without seeking confidential volumes or prices. A hotel linen contract and individually allocated staff uniforms can require different tracking capabilities even when the same laundry handles both.
Find out how long the arrangement has operated and whether the current processing site and route team are the ones proposed for your contract. Historical experience can help, but a reference from an earlier operating arrangement may not establish the readiness of a newly introduced facility or partner.
Discuss an ordinary delivery cycle
Ask how the customer confirms collected and returned quantities. Explore the receiving effort: whether items arrive sorted as agreed, whether records are clear and whether discrepancies require repeated follow-up. These details reveal administrative work that may not appear in the supplier's price schedule.
Request a specific example of a quality issue and its resolution. Find out how the supplier distinguished rewash, damage and ordinary wear, and whether the customer could continue operating while the issue was addressed. Avoid turning one incident into a general accusation; examine the response and the subsequent pattern.
Explore peak demand and disruption
Ask about a busy period or a missed collection. What warning did the customer receive, and what recovery was actually delivered? Distinguish a one-time favour from a contractual commitment that your organisation can expect. A reference may describe exceptional help that is not included in the current quotation.
Discuss whether the supplier communicated changes in processing location, route or subcontracting. Ask how easy it was to reach someone authorised to resolve a material issue. A friendly driver is valuable, but the customer also needs an accountable decision-maker for commercial or operational exceptions.
Turn the conversation into conditions
Summarise relevant strengths and gaps alongside the trial results and proposed agreement. Ask the bidder to clarify any material weakness with evidence or a concrete commitment. Keep the reference's information proportionate and confidential where appropriate. The result should sharpen the purchasing decision, not become an unsupported public claim about the supplier's overall performance.
