Establish what the reference actually bought

Identify the person's role. A purchasing contact may know the quotation and invoice process, while an IT or facilities contact may know whether the devices worked in the intended setup. Record observations within those limits.
Explore fulfilment accuracy
Ask whether the full model, regional variant and accessories matched the accepted order. Find out how the supplier communicated shortages or proposed replacements. A substitute can be useful when approved; an unannounced change can create significant installation or support work.
Request an example involving a delivery discrepancy. Was it recorded clearly, did the supplier accept responsibility where appropriate and could the buyer identify the affected units? The answer reveals more than a general statement that delivery was usually quick.
Investigate a support case
Ask whether any device arrived faulty or later required service, and how the process worked. Distinguish the reseller's response from the manufacturer's assessment. A reference should not be expected to judge the legal meaning of warranty terms, but can describe who collected the item and how clearly the next step was communicated.
For example, the supplier may have responded promptly but left the buyer unsure whether a replacement was available. That experience is relevant if continuity matters to your deployment and no spare arrangement is planned.
Turn the discussion into bounded evidence
Write down specific examples, unresolved concerns and differences from your proposed purchase. Give the candidate an opportunity to clarify a material issue before relying on it in the award decision. Avoid presenting an unverified complaint as an established fact.
Use references alongside product documents, sample checks and commercial terms. If comparable references are unavailable, limit the first order or add receiving controls proportionate to the uncertainty. The purpose is to understand how the supplier performs when an order is imperfect, not to collect a positive quotation that bypasses the need to verify the devices themselves.
