Reference questions for UAE corporate travel agencies

In brief

A corporate travel reference should describe booking accuracy, change support and account reconciliation for a comparable travel pattern. A good holiday booking or a low fare found once gives limited evidence about an ongoing business account. Ask how the agency operates when approvals are delayed, plans change or a ticket needs financial follow-up.

Establish the reference's travel pattern

Ask about common routes, booking volume, lead times and frequency of changes at a general level. Confirm whether the proposed agency team and ticketing model were involved. Avoid requesting confidential traveller records or commercially sensitive route data that is unnecessary for the discussion.

Identify the person's role. A traveller may know support quality, while the travel organiser or finance team may know approvals and credits. Treat each perspective within the experience it actually covers.

Explore a booking and a change

Ask whether options clearly showed routing, inclusions and fare conditions. Find out how the agency handled a price change before issue or an exception to company policy. A useful agency should preserve the approval decision rather than issue first and explain afterward.

For example, a return-date change may have needed after-hours support. Ask who could act on the ticket and whether the traveller received a clear option and cost before authorisation.

Review financial closure

Ask how invoices, service fees, refunds and unused value were recorded where applicable. Determine whether the reference could reconcile changes to the original booking. A case that was submitted to an airline but not followed through may remain an unresolved account issue.

Do not ask the reference to guarantee that your fares will have the same conditions or that an airline will handle a future disruption identically.

Apply the evidence proportionately

Record specific observations and differences from your proposed service. Give the candidate an opportunity to clarify material concerns, and avoid repeating unverified allegations as fact. A positive reference should not replace verification of the actual contracting entity and ticketing arrangement.

Use the findings to shape a first-booking test and service agreement. If comparable evidence is limited, start with a controlled scope and review the records before increasing volume. The reference is most useful when it reveals how the agency handles the parts of travel administration that continue after the attractive fare has been quoted.
