Assess the service actually delivered
Compare quoted and issued itineraries, approval handling, changes and final accounts. Ask travellers about support and organisers about the information needed to make decisions. Keep airline disruption separate from the agency's response to it.
Review whether options consistently explained material fare conditions and inclusions. A fast quote is less useful if the buyer repeatedly discovers restrictions only when a trip changes.
Update the next travel profile
Identify new routes, locations, traveller groups or working patterns. Ask the agency whether its ticketing and support model still fits. A service suitable for predictable regional trips may need reassessment for frequent long-haul or after-hours changes.
For example, a growing overseas team may need support during hours the current account desk does not cover. Renewing the same transaction fee does not resolve that operating gap.
Reconcile fees and outstanding value
Review agency charges, account fees and servicing costs against the actual workload. Track refunds, unused value and credits to their established outcomes under the relevant terms. Resolve old cases or retain a clear owner and next action before they disappear into the renewed account.
Confirm any change in issuing partners, accreditation claims or contracting entities. Have the relevant owners reassess traveller-data handling and contractual responsibilities where the delivery model changes.

Agree specific improvements from the review, such as clearer option summaries or a usable unused-ticket register. A good renewal preserves effective support while leaving the business with a transparent purchasing and reconciliation process, rather than a relationship whose value depends on informal knowledge held by one account manager.
