Revisit the reason for the original purchase

Compare the intended use with what teachers actually did. Ask which functions or materials supported lessons and which remained unused. Investigate the reason for low use: a changed curriculum, an implementation gap and poor product fit require different decisions. Avoid renewing solely because staff have become familiar with the name.

Review the configuration by year group, subject and campus. Confirm expected quantities and any planned changes in teaching approach. For a subscription, identify active allocations and the practical effect of reducing them. For physical resources, reconcile usable stock before adding another annual order.

Examine the service record

Use delivery, support and invoice evidence from the contract period. Identify recurring problems and whether agreed corrective actions worked. Ask classroom and administrative users for specific examples rather than a general satisfaction vote. A supplier may be strong in resource quality while still needing a clearer shortage-reporting process.

Discuss the findings before requesting the final renewal offer. Give the supplier a chance to propose a concrete improvement with an owner and timeline. Keep promises from the renewal conversation in the agreement so they do not disappear after the purchase order is issued.

Compare the future commitment fairly

Request the exact renewal configuration, price basis and service period. Identify changes from the previous package, including functions removed or moved into another tier. Compare alternatives using the same implementation and transition assumptions, not just their first-year headline prices.

Check notice requirements and cancellation arrangements in the actual contract. Do not assume that a reminder email is the only relevant deadline. Route uncertain contractual questions through the school's normal legal and procurement review, and preserve the decision date in the purchasing calendar.

Plan either continuation or exit

If renewing, update ownership, support contacts and quantities. If changing supplier, schedule the transfer of resources, administrator knowledge or usable records before access ends. Keep the reason for the decision and the expected benefit in the approval record. A deliberate renewal should improve the next period of use, even when the school chooses to retain the same provider.
