Road cargo proof of delivery: a buyer's handover checklist

Define the identifying information

Include the booking or shipment reference, purchase-order reference where needed, delivery location, date and relevant quantity units. Identify how the receiver is recorded under the buyer's procedures. Avoid collecting unnecessary personal information simply because a standard carrier form contains extra fields.

Make sure the record can distinguish several orders on one vehicle and several drops on one route. A single route-level acknowledgement should not be used as evidence that every store or site received its complete allocation.

Record exceptions at the point of receipt

Agree how shortages, visible damage, partial refusal and unsuccessful delivery attempts are noted. The receiving team should use the appropriate technical inspection process for specialised goods. A routine transport receipt should not be presented as proof of technical conformity beyond what the receiver actually checked.

For example, a receiver may accept the number of pallets but not inspect every item inside sealed packaging. The record should reflect that level of receipt rather than implying a detailed quality inspection occurred. Clear wording reduces later disagreement about what the acknowledgement established.

Connect the record to follow-up action

Assign an owner for discrepancies and a route for sending supporting information. Ask the carrier to preserve relevant event records and explain how corrected documents are versioned. Replacing an incomplete record should not erase the original delivery history or exception.

Define how quickly proof of delivery is made available and in what format. The buyer should be able to retrieve it by shipment reference without searching through unrelated message threads. If electronic records are used, test access and download during mobilisation.

Reconcile delivery and billing

Link the invoice to the accepted movement and any authorised waiting, redelivery or other charge. Keep unresolved quantities and claims visible rather than treating the existence of a signature as automatic closure. Review recurring record gaps with the carrier. A usable proof-of-delivery process supports stock control, fair payment and efficient investigation because it records the actual outcome instead of merely confirming that a vehicle reached the destination.
