Define request and approval handling

Agree what information the business provides and when the agency returns suitable options. Identify policy checks, approval authority and the route for exceptions. A traveller's urgent request should not automatically override the company's purchasing controls.

Require the agency to state quotation validity and any decision deadline. If price or availability changes before issue, the service should explain how the revised option is approved.

Set ticketing and communication evidence

Specify the final itinerary and issued-ticket information the traveller and organiser receive. Ask how details are checked before issue and how an error is reported. Keep provisional reservations distinguishable from completed ticketing.

For example, an organiser may forward an early itinerary to a traveller who assumes the trip is confirmed. Clear status labels and final issue evidence reduce that misunderstanding.

Establish after-hours capability

Name the support channel and explain who can access and service the booking. Clarify the role of any issuing partner and the authority needed for changes. An answering service is different from an agent who can complete an approved reissue.

Set expectations for substantive updates while the agency checks airline options. A quick acknowledgement should not be treated as resolution when the traveller still does not know what action to take.

Specify the information an emergency caller should provide: traveller name, booking reference, current location and a reachable number. Test whether the agency can locate the booking without relying on the employee who originally authorised it.

Review financial closure and exceptions

Require tracking of changes, cancellations, unused value and refunds where applicable under the actual terms. Link agency fees and airline amounts to the booking record. Define who follows a case until the account is reconciled.

Measure accuracy, communication and adherence to the agreed workflow rather than promise uninterrupted airline operations. External disruption may occur, but the agency can still be assessed on its response and clarity. A useful agreement gives travellers a dependable support route and the employer a traceable account of what was booked, changed and ultimately charged.
