Testing a UAE travel agency with a first corporate booking

In brief

A first corporate booking should test the agency's option quality, approval control, ticket accuracy and account record. It should not be an artificial exercise that creates unnecessary travel or cancellation charges. Use a genuine representative trip or a clearly agreed process demonstration, and record what was actually tested.

Choose a representative request

Select a route and traveller pattern that resembles normal demand. Provide the policy requirements and the information appropriate to the booking stage. Ask the agency to identify missing details rather than fill them with assumptions.

If the business often changes return dates or books several travellers, include those needs in the scenario. A simple fixed itinerary may not reveal whether the proposed service can handle the more complex work expected later.

Review options and approval

Check the itinerary, inclusions, fare conditions and agency fees. Confirm how the agency communicates validity and availability changes. The designated approver should be able to make the decision without asking the traveller to interpret unexplained fare labels.

For example, the agency may offer a cheaper option with a different airport or connection. The pilot should reveal whether that difference is highlighted before approval rather than discovered in the final ticket.

Check issue and support records

Verify the final traveller details and issued-ticket evidence through the agreed process. Review the support contact and the agency's ability to service the booking. Do not make an unnecessary change merely to test response; a structured walkthrough can assess the process without incurring avoidable fees.

Ask how a genuine schedule change or cancellation would be recorded and communicated. Keep the limits of a demonstration clear if no real exception occurs.

Include a reconciliation check after the journey: match the ticket receipt, agency fee and any change charge to the approval record. A successful flight alone does not prove that the booking and accounting workflow is ready to scale.

Reconcile the transaction

Match the invoice to the approved option and any accepted revision. Check that agency charges and airline amounts are understandable. Ask the traveller and organiser about communication while avoiding conclusions based on one trip alone.

Record corrections to profiles, approval rules or invoice fields before increasing volume. A useful first booking establishes that the agency can work within the company's controls and provides evidence for a bounded award. It does not guarantee future airline performance or establish that every fare and route will have the same conditions.
