Define the stages of the job
Set expectations for booking confirmation, vehicle receipt, initial assessment, estimate delivery and progress updates. Distinguish an assessment appointment from a committed completion date. Require the garage to explain when a reliable repair estimate depends on further investigation.
Use status descriptions that help the company act: awaiting diagnosis, awaiting approval, awaiting parts, in repair or ready for collection. A general message that the vehicle is still being checked gives the fleet manager little information about what can be resolved.
Control repair authorisation
Name the people who may approve work and the route for urgent or out-of-hours decisions. State whether an initial assessment has a separate approval limit. Additional repair work should follow the agreed process when it changes the scope or estimate.
Require a written record of the finding and proposed action. If a driver gives verbal permission that falls outside company policy, the garage should refer the decision to the authorised contact. This prevents a convenient conversation at the service desk from becoming an unintended purchase order.
Agree communication when plans change
Ask the garage to update the expected completion when parts, findings or capacity change. The update should identify the reason, next action and time of the next review. Do not require certainty where it does not exist; require an honest account of the uncertainty.
Clarify vehicle storage, collection and any relevant charges after work is complete. Define who receives the release notification and what documents are supplied. The company needs enough information to arrange collection and understand any qualified recommendations about further attention.
Review repeat complaints fairly
Specify how a returning vehicle will be assessed and how the garage will explain whether the complaint relates to previous work. Avoid assuming either that every repeat symptom proves poor workmanship or that a new invoice automatically means an unrelated fault.
Review service performance using actual job stages and records. The agreement should help resolve repair decisions promptly and transparently, with appropriate technical judgement, rather than rewarding quick closure of a job that the company does not understand or cannot yet accept.
