Define a ready-to-process instruction
For print, identify the approved file, physical specification and delivery requirement. State how the provider reports missing fonts, uncertain versions or other production questions without making an unapproved choice. The buyer should know which decision stops or changes the schedule.
For typing, define the source batch, required fields and exception process. An unclear entry should remain visible for the buyer to resolve. Do not let a speed commitment encourage the provider to guess missing information or omit difficult records without explanation.
Set approval and correction milestones
Agree who receives the proof or sample, who may approve it and how the decision is recorded. Separate a supplier correction from a buyer revision under the contract. Keep the accepted version connected to the job reference.
For a hypothetical urgent print batch, an email saying looks good should refer to a specific proof and specification. Otherwise the supplier and buyer may approve different versions while each believes the production instruction is clear.
Measure accepted output rather than throughput alone
For printing, include relevant checks for quantity, finishing and packing. For typing, reconcile completed records, checked corrections and unresolved exceptions. A provider should not receive full performance credit for delivering many pages that require substantial unplanned buyer repair.
Define how a rejected item is reported and what evidence supports the correction. Preserve the original defect and corrected result so repeated problems remain visible rather than disappearing whenever a new file is issued.
Close delivery and information handling
Specify final file formats and any editable outputs included in the agreement. Confirm the appropriate transfer and access method for sensitive material. Where physical delivery is involved, identify the receiving acknowledgement and the route for incomplete or damaged output.
Review recurring errors by type and job condition. A one-off source ambiguity needs a different correction from repeated use of an outdated artwork file. Use the SLA to improve the actual intake and production method, not merely to count messages or pages. The agreement should allow both teams to identify when work is ready, what constitutes acceptance and how an accuracy problem is corrected without losing the traceable document history.
