Define the timing points

Agree booking acknowledgement, vehicle arrival, collection completion and delivery window. Specify which time zone and operating calendar apply where relevant. Record the difference between requested dates, acknowledged commitments and later approved changes.

Ask how the carrier will evidence each milestone. A location update may show that a vehicle reached the site area, but not that cargo was accepted. Use the receiving record and agreed exception process to establish the actual delivery outcome.

Include completeness and condition

Track whether the agreed shipment was collected and delivered with the required references and discrepancy notes. Define how partial delivery, damage observations and refused quantities are recorded. Technical inspection of specialised cargo should remain with the buyer's competent process rather than being implied by a routine transport signature.

For example, a truck may arrive within the slot but carry only part of the acknowledged order. Record the delivery as partial and track the remaining obligation. Counting the trip as fully successful because it was punctual would obscure the buyer's service problem.

Make exceptions actionable

Agree when delays are reported, who receives the alert and what information the carrier must provide. Distinguish an initial warning from a revised plan accepted by the buyer. Define the authority needed for waiting, rerouting, return or additional charges.

Record buyer-caused dependencies using evidence, such as cargo not ready or receiving access unavailable. Do not allow broad exclusions to remove every difficult movement from the scorecard. Review disputed attribution through the agreed governance process.

Review lanes and causes separately

Analyse results by lane, cargo and operating carrier where useful. A strong overall average can hide a weak route or recurring site issue. Agree corrective actions that change dispatch, appointment coordination or information quality and verify the next comparable movements. Service levels should help both parties improve delivery, not simply produce a high compliance percentage by choosing convenient timestamps and excluding the shipments that matter most.
