Confirm the space and guest flow

Record the date, arrival time, expected duration, guest count and exact room or section. Include the agreed seating arrangement and relevant access instructions. Confirm who welcomes guests and how late arrivals are directed without interrupting the group unnecessarily.

A complete handover allows a colleague who did not negotiate the booking to host confidently, because the essential decisions are clear and the venue knows where to take a question or unexpected request.
