Make employee instructions usable

Confirm support and privacy arrangements

Name the provider contact for booking issues and the route for complaints or service concerns. Identify the employer's programme coordinator without positioning that person as a clinical adviser. Participants should know what information the employer receives and where personal service questions belong.

Have the privacy owner confirm the actual reporting fields and access. Do not allow a launch dashboard to expand beyond the agreed purpose merely because the platform offers more detailed data.

Confirm who receives updated instructions when a partner venue changes its booking contact. A correct launch email can become misleading later if the supplier revises its process but employees continue using the original telephone number or link.

Prepare the first review

Agree how the supplier reports availability, delivery, cancellations and account reconciliation. Select feedback appropriate to the programme and explain its limits. Attendance or satisfaction should not be described as evidence of clinical improvement.

Retain the final offer, provider list, communication materials and unresolved actions. After initial use, correct inaccurate listings or unclear instructions before promoting the programme further. A complete handover makes the benefit easier for employees to use and for the business to manage, while keeping the scope and responsibilities stable enough to review meaningfully.
