In brief
Collecting a company vehicle should include a clear explanation of what was done, what was checked and what remains outstanding. A UAE business needs this record for the driver, fleet manager and finance team. Handover is not an invitation for procurement staff to certify technical safety themselves; it is the point where the garage's qualified findings and completed work become understandable to the vehicle owner.

Match the repair to the approval
Ask the garage to summarise the original complaint, assessment findings and authorised work. Compare the final job report with the approved estimate and any later changes. Resolve unexplained additions before treating the invoice as a complete account of the job.
Check that parts and labour descriptions are sufficiently clear to identify what was performed. The report should distinguish replacement, adjustment, investigation and outside specialist work where relevant. A single line saying repair completed gives little support for future maintenance or a returning concern.
Understand the release information
Ask the workshop to explain the checks relevant to the completed work and any limits on its findings. Record recommendations that require further attention separately from work already carried out. The responsible company contact should understand whether any issue remains unresolved and seek qualified clarification before making an operational decision.
Do not confuse a repair handover with an official vehicle inspection process or a guarantee against unrelated future faults. Each has its own scope. If the company needs another assessment or authority service, identify that next step explicitly.
Complete the custody handback
Confirm the vehicle identity, odometer record, keys and any company equipment recorded at receipt. Note visible condition differences and discuss them while the vehicle is still at the workshop. Keep the collection person and time in the job record.
If the vehicle is delivered back by a third party, identify who performs the movement and how the receiving person can raise an immediate concern. The convenience of delivery should not eliminate the condition and document checks used for collection at the garage.
Make the record accessible
Send the invoice and job report to the company account owner, not only to the driver. Update the vehicle history with completed work and relevant follow-up items. Record the contact route and documents needed if the reported problem returns.
A good handover closes the authorised repair while making unfinished questions visible. It gives the next driver or fleet manager a reliable starting point and avoids forcing the company to reconstruct technical and commercial decisions from scattered messages months later.
