Writing a UAE vehicle repair service RFQ

In brief

A vehicle repair RFQ should help garages price a defined service relationship without asking them to guarantee unknown repairs. UAE businesses can compare workshop capability, assessment charges, labour arrangements and approval processes while leaving individual fault diagnosis to qualified technicians. A useful RFQ explains the fleet and buying controls rather than presenting every future repair as a fixed commodity.

UAE businesses can compare workshop capability, assessment charges, labour arrangements and approval processes while leaving individual fault diagnosis to qualified technicians. A useful RFQ explains the fleet and buying controls rather than presenting every future repair as a fixed commodity.

Describe the vehicles and expected work

Provide the vehicle types, approximate service pattern and locations where they operate. Include the identifiers needed for representative quotations where appropriate. Separate scheduled work from unplanned fault investigation, and identify specialist services that may require another provider.

Explain how vehicles become available for assessment and who reports symptoms. If the company needs collection or roadside coordination, list it separately. This lets bidders show the cost and responsibility of moving a vehicle instead of folding it into an undefined workshop fee.

Ask for a transparent pricing structure

Request diagnosis charges, labour pricing method and how parts and outside services are quoted. Ask what an initial assessment includes and when further investigation needs approval. Do not assume that a quick visual check and a detailed fault investigation are the same service.

Require bidders to identify storage, collection, cancellation or other relevant charges. Ask how they will obtain approval for changes. For representative jobs, give the same assumptions to all bidders and make clear that actual repair recommendations remain subject to assessment.

Specify the evidence and communication

Ask for a sample job record showing the complaint, findings, recommendation, estimate and final work description. Explain who can approve repairs and how the workshop must handle urgent decisions when that person is unavailable.

Set expectations for progress updates and revised completion estimates. Ask bidders to describe how they distinguish work awaiting diagnosis, parts, approval or workshop capacity. Those categories help the company understand downtime and respond to the problem it actually controls.

Define completion and follow-up

List the handover information required, including invoice detail, completed work, relevant checks and recommendations requiring later attention. Ask how the workshop assesses a repeat complaint and communicates whether it relates to the previous job.

Request the contracting identity, service locations, subcontractor arrangements and relevant capability evidence. Award on the fit between those facts and the fleet's needs. The RFQ should create a fair commercial framework for future repair decisions, while avoiding promises about technical outcomes that no supplier can responsibly make before inspecting the vehicle.
