Give each request an exact identity
Include the work-order or fleet reference, appropriate vehicle identifier, approved part number where available and quantity. Ask the supplier to confirm the proposed item and explain the lookup basis. Where the buyer does not yet know the part number, require technical confirmation before converting the quotation into an order.
State the required condition as unused and describe the manufacturer or source commitment needed. Ask suppliers to explain terminology such as genuine, original equipment or OEM in relation to the specific product. Do not let a shorthand label replace an explicit description of what will be supplied.
Require a separate alternative response
Ask bidders to identify superseded numbers, substitutions and different manufacturers in a dedicated field. Require the reason, supporting information and effect on price and lead time. The workshop or technical owner should approve the alternative; procurement should not infer equivalence from a lower price or similar description.
For example, an accessory may need a fitting kit or vehicle-specific component not included in the headline item. Ask suppliers to identify such dependencies for technical review so the buyer compares complete supply requirements rather than incomplete packages.
Make availability and commercial conditions comparable
Distinguish stock held by the bidder from stock to be sourced or imported. Ask when availability becomes a firm commitment and whether reservation requires an order. Request delivery cost, return restrictions, warranty process and conditions related to opened or installed items.
Specify the invoice and identification detail required at receipt. The document should preserve the manufacturer, part number, quantity and buyer reference, with serial or batch information where relevant and available. This supports reconciliation and any later investigation.
Explain the evaluation and approval route
Evaluate technical acceptability first, then compare source evidence, availability and total cost. State who can approve alternatives and how clarifications are recorded. A well-prepared RFQ produces offers that workshops can validate and purchasing teams can compare, reducing the risk that an urgent order turns into a debate about which version of the part was actually requested.
