Photographs can help assess an offer, but they may show a sample unit or omit an important limitation. Confirm the unit type, essential inventory, location and the process for identifying the actual accommodation. Record what the supplier commits to if the pictured unit is unavailable.
Use the employee's real requirements to evaluate the offer. An attractive apartment can still be unsuitable because access, occupancy or workspace arrangements do not match the booking need.
Mistake: treating a provisional hold as a booking
Ask what makes the accommodation confirmed and when that confirmation will be issued. Keep provisional status visible internally. Do not send an employee final arrival instructions based on an assumption that unresolved allocation details will work themselves out.
If timing is tight, escalate the accommodation risk and identify a workable contingency. Urgency can justify faster coordination; it does not turn an unconfirmed offer into secured accommodation.

Use a record containing the confirmed accommodation, dates, parties, essential services, support route and unresolved actions. Assign an owner to every material open item. Reuse verified supplier information where appropriate, but reconfirm the details that change with each stay.
