Rebuild the requirement for the next period

Compare expected demand with the bookings actually placed. Identify changes in work locations, stay lengths, household needs and uncertainty around arrival dates. Ask internal users which requirements caused the most difficulty under the current arrangement.

Document the approved scope, conditions and any properties or services that remain restricted. If renewing, confirm how revised terms apply to new bookings and communicate the operating instructions to coordinators. If changing suppliers, plan the transition of future demand and the closure of outstanding financial matters.

Retain the reasons for the decision. The renewal record should explain why the supplier is suitable for the next period, not simply state that the organisation has used it before. That makes future reviews more useful and helps prevent urgent bookings from expanding the relationship beyond its assessed scope.
