Checking authority to supply a UAE corporate apartment

Map the parties to their roles

Record the property identifier, proposed contracting party, invoicing entity and payment recipient. Ask who controls allocation, who provides access and who is responsible for maintenance. Where another party performs a service, identify whether the contracting provider remains accountable for that party's performance.

Request an explanation of the provider's authority to offer the accommodation. The appropriate evidence depends on the arrangement and jurisdiction. Have questions about ownership, representation or legal authority assessed by a qualified adviser when necessary; a procurement checklist cannot determine every legal issue.

Reconcile the booking documents

Compare the names and accommodation details across the proposal, confirmation and agreement. Investigate meaningful differences before releasing funds or sending an occupant to the property. A trading name may differ from a legal entity name, but the relationship should be explained and documented.

Use the organisation's established verification process for payment instructions. If a bank-account change arrives during an urgent booking, confirm it through an independently established contact route. Do not rely solely on the contact details included in the change message.

Test operational control

Ask the provider how it confirms that the unit will be available and what happens if the underlying owner or operator withdraws it. Request the substitution and escalation process. A promise to find “something similar” leaves unresolved questions about location, standard and additional cost.

For example, an intermediary may have a suitable partner property but no confirmed allocation for the requested arrival date. That offer can remain under consideration, but the buyer should not describe it internally as secured accommodation. Keep the provisional status visible until the agreed confirmation condition is met.

Record the decision and remaining dependencies

Retain the explanation of roles, supporting evidence and the final booking confirmation. Document material dependencies on third parties and any conditions that must be satisfied before occupation.

Revisit the checks if the contracting entity, property, payee or operating arrangement changes. A verified relationship for one booking is useful history, but it does not establish authority for a different property or a newly introduced intermediary. The goal is a traceable transaction whose responsibilities remain clear when something goes wrong.
