Establish whether the reference is relevant

Confirm the type of accommodation, approximate pattern of bookings and locations involved. Ask whether the reference dealt directly with the same provider or through another intermediary. A reference from a single successful stay has a different evidential value from experience managing repeated bookings and exceptions.

Keep the discussion focused on service performance. Do not request employee identities, personal circumstances or confidential commercial information that is unnecessary for evaluating the provider. Obtain the reference through an appropriate introduction or contact process.

Ask about events rather than general satisfaction

Useful questions include whether the confirmed accommodation was delivered, whether arrival instructions worked and how the provider handled a maintenance issue. Ask for an example of a booking change and how the outcome compared with the agreed terms.

Follow up on statements such as “they were responsive.” Did that mean a quick acknowledgement, a clear explanation or a resolved problem? The distinction matters when the organisation is buying support for employees who may have no alternative accommodation nearby.

Explore the difficult parts of the relationship

Ask whether there were unexpected charges, repeated substitutions or unresolved departure deductions. Invite the reference to explain how concerns were raised and whether the provider corrected the underlying process. A supplier that encountered a problem and handled it well may offer more informative evidence than a reference with no relevant exception experience.

For example, a reference may praise the provider's usual accommodation while describing weak support for late arrivals. If late arrivals are central to your programme, that qualification belongs in the evaluation. It should not be lost inside a positive overall recommendation.

Separate evidence from inference

Write a short note identifying the experience described, the scope it supports and any limitations. Avoid scoring a capability positively because the reference was friendly or recognised the supplier's brand.

Give the shortlisted provider an opportunity to address specific concerns without disclosing unnecessary confidential information. Combine references with the current offer, operational walkthrough and pilot results. References are one source of evidence; they do not confirm present availability, the suitability of a different property or the terms of your proposed agreement.
