Group historical or forecast trips by the actual office, customer or project location. Record typical arrival times, stay length and transport needs. Assess routes against the working schedule rather than choosing hotels solely by city label or straight-line distance.
Identify destinations with occasional travel separately from high-volume locations. A broad preferred list can create administrative work without meaningful value. Focus negotiated arrangements where they can improve availability, booking reliability or cost, while retaining a clear process for legitimate exceptions.
Qualify each property individually
Confirm the named property's room categories, booking process and company billing capability. A brand-wide relationship does not establish identical service or commercial conditions at every location. Ask which terms are shared and which require a local agreement or separate account setup.
Test the property's fit for the relevant traveller group. Long project stays may need different room facilities and laundry arrangements from short executive visits. Record those distinctions so employees are directed to a suitable property rather than simply the first name on an alphabetical list.
Plan for availability gaps
Identify a backup where unavailability would materially disrupt travel. Confirm its booking conditions and approval route before it is needed. Avoid assuming that the preferred hotel's sister property will honour the same rate or provide equivalent accommodation without a written arrangement.
Define how travellers request exceptions when the preferred option is impractical. Capture the reason in a useful category, such as location mismatch or unavailable dates. Repeated exceptions may show that the programme's coverage is wrong rather than that employees are ignoring policy.
Review the network as demand changes
Compare room nights, declined requests and traveller feedback by property and destination. Remove inactive arrangements that add confusion, and reassess locations affected by project openings or closures. Keep booking instructions current and identify the owner of each hotel relationship. A good coverage plan offers enough choice to support real journeys while maintaining reliable account controls; it does not measure success by the number of hotel logos included in a corporate rate presentation.
