Separate the affected quantities

Identify which nights, room types and guests change, then update meeting attendance and meal counts independently. A delegate who cancels an overnight stay may still attend the daytime event. Give each service its own revised quantity so the property does not infer the wrong requirement.

Keep the previous and proposed versions with a clear revision date. Use one authorised buyer contact to consolidate changes where practical. If travellers may amend their own reservations, define how those changes feed into the group record and who approves any company-paid cost.

Check the agreement before authorising

Review the relevant release, cancellation, no-show or amendment terms in the signed arrangement. Ask the hotel to calculate the financial effect of the proposed change and identify the basis. Do not assume a reduction in attendance automatically reduces every package charge.

For added rooms or extra meeting hours, obtain confirmation of availability and price. An acknowledgement that the request was received is not confirmation that it can be delivered. Communicate the change to guests only after the required property commitment is clear.

Update operations together

Ask reservations, event operations and accounts to confirm the same revision. Check rooming lists, event orders, catering counts and billing instructions for consistency. If the change affects an external supplier, identify who communicates with that provider and whether separate approval is required.

For last-minute amendments during the event, agree a practical written record such as an authorised change log. Capture the request, cost, approver and hotel acceptance. This protects both sides from later disagreement about an informal conversation at the reception desk.

Reconcile after delivery

Match the final invoice to the original booking and approved amendments. Check that credits and revised quantities appear correctly and that personal guest requests have not been added to the company account without authority. Review why major changes occurred and improve the next forecast. Effective change control preserves flexibility by making the consequences visible early, rather than trying to eliminate uncertainty or expecting hotel teams to reconstruct an evolving programme from scattered messages.
