Be cautious when a proposal quotes a group rate without stating whether rooms are held. Ask for nightly quantities, categories, hold expiry and the process for confirming the block. A statement that rooms are usually available is not equivalent to a documented commitment for your dates.
Look for inconsistent release and cancellation wording across the proposal, contract and booking link. Request one reconciled set of conditions. If a salesperson describes flexibility that the written terms do not support, obtain an authorised amendment before relying on it.
Vague package contents
A meeting package that lists audiovisual equipment without identifying what is included may leave important needs unpriced. Ask about setup, technical attendance and access hours. Similarly, confirm meal counts, service formats and amendment deadlines rather than accepting an unexplained per-delegate total.
