Define the period and uncertainty

Record the expected occupation dates and the likelihood of extension or early departure. A settled, longer assignment creates different requirements from a temporary placement whose end date depends on a project milestone. Compare options against more than one plausible duration if the uncertainty is material.

List the services the employee needs from the first day. Identify which option provides them and which requires a separate supplier or employer action. Include furnishing, utility arrangements, connectivity, cleaning where required and the process for resolving maintenance issues.

Separate setup costs from recurring costs

Build a comparison with setup, recurring and exit components. Identify deposits separately from costs, while still considering their cash-flow implications and the conditions for return. Obtain written explanations of charges rather than estimating them from marketing descriptions.

For a lease, confirm what the employer or occupant must arrange directly. For serviced accommodation, confirm the actual inclusions and any consumption limits. Have the relevant agreement and local requirements reviewed for the proposed arrangement; the commercial comparison is not a determination of legal suitability.

Price the work the organisation will perform

Assign an owner to each operational task. If the accommodation team must arrange utilities, inspect furniture, coordinate repairs and manage departure, that workload belongs in the decision. It may be acceptable, but it should not disappear because it is paid through staff time rather than a supplier invoice.

Consider a hypothetical employee whose assignment may end after a short extension. A lower recurring accommodation price may be less attractive if the exit terms create a substantial commitment. Conversely, a stable assignment may justify setup work that would be inefficient for a brief stay. Use the actual offers to test both cases.

Document the trade-off rather than declaring one model best

State which option fits the assignment, the assumptions supporting it and the events that would require a fresh decision. Confirm that the employee understands the practical arrangements, especially who handles service issues and what must happen at departure.

Keep the comparison available for later review. If the assignment changes, revisit the original assumptions rather than automatically extending a model chosen for a different duration or operating need.
