Reconstruct the price from the accommodation requirement

Match every quoted item to the required stay, unit type and number of occupants. Check whether the quotation covers the entire period or uses a pricing unit that creates a partial-period adjustment. Ask the provider to explain any difference between the proposal, booking confirmation and agreement.

List required services alongside the offer. Mark each as included, separately priced, capped, excluded or unclear. The “unclear” column is important: replacing uncertainty with an optimistic assumption makes a comparison look more precise than the evidence supports.

Examine event-driven charges

Ask about changes to arrival dates, extensions, early departures, lost access credentials, additional cleaning and damage assessment. Request the contractual basis and the process for approving or disputing charges. Do not assume that a charge is enforceable or appropriate simply because it appears in a price list; have material contractual questions reviewed.

Treat deposits separately. Record the amount, purpose, holder, release process and evidence used to support deductions. A refundable deposit is not the same as an accommodation expense, but its timing and potential deductions still matter to the buyer.

Test realistic usage and change scenarios

Use the needs of the actual stay. If connectivity or utility consumption is capped, ask how the cap works and how the occupant can see usage. If a stay may be extended, obtain the extension mechanism before assuming the original rate continues.

For example, a quote may include regular cleaning but exclude the departure clean. Another may bundle both. A fair comparison reflects the complete stay. It should also distinguish a predictable departure charge from a contingent charge that applies only if a defined event occurs.

Keep assumptions visible in the approval

Present a base case and explain material uncertainties. Avoid adding every conceivable charge into a misleading worst-case total, but do show the events that would change the cost and who can authorise them.

Before confirming the booking, obtain written clarification of unresolved inclusions. After the stay, compare the final invoice with the approved assumptions. Repeated unexpected charges indicate that the sourcing brief or supplier communication needs correction, even when each individual invoice can eventually be reconciled.
