Establish comparable transaction cases
Use representative volumes, channels, currencies and transaction types relevant to the business. Mark estimates and avoid presenting them as guaranteed usage. Ask each provider to calculate the same cases and identify the assumptions behind the result.
Keep eligibility and service scope visible. If one provider supplies technology while another includes the underlying financial service through a different entity, the proposals need a responsibility comparison as well as a fee comparison.
Separate charge components
Ask for fixed, transaction-based and conditional charges, with a clear calculation basis. Identify external amounts or conditions the provider cannot fix at quotation. Do not silently turn a buyer estimate into a supplier commitment.
For a hypothetical cross-currency service, have the appropriate finance reviewers examine the full quoted calculation and relevant terms rather than comparing one advertised fee alone. This guide does not recommend a currency strategy or predict market conditions; it requires the actual commercial basis to be understood.
Compare records and exception support
Review transaction identifiers, status meanings and reconciliation reports. A service that requires substantial manual finance work differs from one that supplies the agreed usable outputs. Keep that retained buyer responsibility visible without inventing unsupported savings figures.
Ask how a rejected instruction or disputed charge is handled. Identify the accountable entity and the route for obtaining evidence from partners. A low fee does not explain the cost or effort of an unresolved exception.
Preserve the reviewed trade-offs
Have legal, finance and risk reviewers assess material contractual and regulatory questions. Do not reduce those judgements to arbitrary monetary adjustments or assume that a familiar provider name settles them.
Mark comparison adjustments as provider-confirmed or buyer-estimated and resolve uncertainties that could change the award. Keep original quotations and final clarifications together.
The decision should state what operational service is purchased, which entity delivers it and which limitations the company accepts. If a higher-cost proposal provides materially better reconciliation or support, explain that practical difference. If a lower-cost service is sufficient within a narrower scope, record the retained responsibilities. A defensible comparison remains understandable when actual transactions and charges are reviewed, rather than depending on a headline price whose conditions were never aligned across the offers.
