Verify the counterparty and product role
Confirm the legal entity quoting and invoicing. Use the relevant official business-licence enquiry route where appropriate, and ask the trader to explain its role in supplying the proposed brand or product. A reseller, distributor and manufacturer may provide different support, and the buyer should understand that chain.
Where an authorised relationship is claimed and matters to the award, request evidence relevant to the product and territory. Do not infer authorisation from a logo or a familiar catalogue. The UAE government's business-verification directory supports identity enquiries, but it does not certify every product sold by the business.
Trace the proposed component
Ask for exact references, relevant product information and the evidence required by the technical review. Keep the document connected to the offered item. A certificate for another model or a generic material statement should not be accepted as answering a product-specific requirement without review.
Identify whether the supplier reserves a substitution right. Require alternatives to state their differences and follow the same relevant approval process. Commercial urgency should not convert an unresolved compatibility question into presumed acceptance.
Review stock and correction capability
Ask which quantities are actually available and how the supplier handles backorders or discontinued items. Distinguish catalogue access from allocated supply. For repeat purchasing, discuss how approved references are retained so later orders do not depend on a salesperson remembering the first transaction.
Examine returns and incorrect-supply procedures using a representative scenario. Ask how the trader investigates a mismatch and what evidence the customer needs to retain. A practical correction route can be important when a small component delays a larger installation or maintenance task.
Approve the defined supply scope
Use an initial order or sample review to assess identification and delivery accuracy. Record technical conditions and any specialist limits. Revisit material changes in product, source or application before extending the approval. The resulting supplier record should explain why the trader is suitable for the defined purchasing programme, not imply that procurement has validated every fitting in its inventory.
