Establish the reference's purchasing pattern
Confirm whether the customer buys occasional maintenance items, scheduled project packages or regular replenishment. Ask about the broad component type without seeking confidential prices or technical project records. A supplier may perform well in one pattern while needing a different process for another.
Identify whether the reference used the same branch, account team or distribution arrangement proposed for your order. A positive experience elsewhere can help, but the buyer should not assume every local operation provides identical stock and support.
Discuss identification and substitutions
Ask how clearly order confirmations identify references, finishes and package quantities. Explore a case where the original item was unavailable. Did the supplier flag the difference and obtain approval, or did the customer discover the substitution at receipt?
Find out whether technical questions were directed to the appropriate product information or reviewer. The reference should not be asked to certify suitability for your application. Its value is in explaining the supplier's identification and communication discipline, which your own technical review can then complement.
Examine delivery and corrections
Request an example of a shortage or incorrect item and how it was resolved. Ask whether the supplier's records made the issue easy to trace. A prompt replacement is useful, but repeated errors may still create significant receiving and installation effort.
Discuss the accuracy of stock and lead-time information. A supplier that clearly distinguishes confirmed supply from an estimate can help the customer plan, even when it cannot meet every request. An unsupported promise of immediate availability is less valuable than reliable information about the actual order.
Apply the findings to the award
Record relevant strengths and concerns, then ask the bidder to address material gaps through a sample, trial order or written commitment. Keep the reference's limitations visible. Combine it with product evidence, commercial terms and competent technical acceptance. The conversation should improve the purchasing decision rather than become an unsupported public endorsement of every item the supplier sells.
