Handover from hotel sales to event operations

In brief

The handover from hotel sales to operations is where a negotiated package becomes a deliverable event. If room layouts, meal counts and payment instructions remain scattered across emails, the property may execute an outdated version. The buyer should require one agreed operating record before the group arrives.

Consolidate the programme

Build a final schedule covering guest arrivals, room allocations, meeting sessions, setup access, meals and departures. Identify the current version and date. Ask the hotel's event lead to reconcile this schedule with reservations and the event order, then list any conflicts requiring a decision.

Confirm the exact rooms and spaces, including breakout areas and storage. Record layout, equipment and staffing requirements in terms the delivery teams can use. Attach approved plans where appropriate, but avoid assuming that an image in a sales presentation has become an operational instruction.

Resolve commercial instructions

Separate the company master account from guest-paid items. State who may approve additions, the approval channel and how the property records the cost before delivery. Give the operations team practical authority limits rather than expecting it to interpret a long procurement email during a busy event.

Reconcile deposits and agreed credits with finance before arrival. Confirm how the final account will be presented and which supporting records will accompany it. Unresolved billing questions can distract the event lead at the point when attention is needed on guests and sessions.

Walk through difficult transitions

Review arrival peaks, meeting-room turnaround, meal timing and departure storage with the people responsible. Ask what happens if a session runs late or a guest count changes. Identify dependencies, such as an external audiovisual supplier needing access before the room is released.

Check the agreed contingency for any outdoor element and the decision deadline for using it. Confirm which alternative is held and who authorises the switch. Do not allow an unreserved indoor space to appear in the plan as though it were guaranteed.

Close the handover formally

Hold a brief pre-event meeting with reservations, event operations, catering and the buyer's lead. Record open actions and owners, then circulate the final acknowledged event order. During delivery, route changes through the designated contact and retain the updated version. A strong handover does not eliminate every change; it ensures that the property and company can recognise the current plan, approve deviations and later explain the final invoice without reconstructing the event from conflicting messages.
