Match the reference to the booking

Ask for clients with similar nightly room volumes, arrival patterns and billing arrangements. For meetings, match the event format and use of accommodation as well as overall attendance. A successful leisure group may offer little evidence about confidential working sessions or a complex master account.

Confirm when the programme took place and whether the relevant hotel team is still involved. A reference from before a major operator or management change needs context. Obtain permission for the conversation and avoid asking for guest records, negotiated rates or other confidential material.

Ask about inventory discipline

Explore whether confirmations matched the agreed room type and dates. Ask how the hotel reported pickup, reminded the client about release decisions and handled extensions. Invite the reference to describe a real amendment and the sequence of communication rather than giving only a satisfaction rating.

Ask what happened when the group changed size. Were commercial consequences explained before the client committed? Did rooms booked outside the main channel create reconciliation problems? These questions reveal whether the property can manage a moving room block fairly and clearly.

Examine event and account handoffs

For a meeting programme, ask whether the final event order reached the teams delivering room setup, catering and technical support. Explore how late changes were approved and charged. A property may have excellent individual departments while struggling to coordinate the complete event.

Ask how accurately the final invoice reflected the agreement and how disputes were resolved. Separate slow responses from unresolved financial errors. Find out whether the client had a named operational contact throughout the stay or repeatedly had to restart explanations with different people.

Use references alongside direct evidence

Record specific examples, their relevance and any limits. A positive reference cannot confirm availability for your dates, and a past problem may have been corrected. Discuss material concerns with the property and request evidence of the current process. Combine references with inspection, contract review and a representative pilot. Select a hotel because the evidence supports your programme, while recognising that another client's experience is an input rather than a guarantee of your own outcome.
