Reconcile deliverables with the engagement
Take the accepted scope and list each promised output. Mark it as received, pending, no longer required by an approved change or disputed. Ask the provider to explain any output that differs from the description in the agreement. Keep that explanation with the final record rather than relying on a closing call.
For issued documents, record the issuing organisation, document identity and relevant version or date. The buyer should be able to connect each record to the application or service that produced it. Have questions about legal effect or continuing obligations referred to the appropriate qualified adviser.
Separate pending work from completed records
Require a case register showing applications still in progress, missing information, last action and next owner. A hypothetical provider delivers the main formation document while a separately purchased administrative service remains open. That item should stay visible with a completion plan instead of being hidden by a general “formation completed” message.
Identify any external party still holding an original document or waiting for an instruction. Agree who will obtain the document or close the dependency and when the buyer should escalate if it remains unresolved.
Confirm control and accessibility
Ensure company-owned contact details and authorised access arrangements are handled through the buyer's secure process. Do not place passwords or sensitive access information in an ordinary handover index. Confirm who inside the company can retrieve the records when the founder or usual contact is unavailable.
Ask the receiving person to open and identify a few key files before acknowledging the document handover. A file may exist but be unreadable, incorrectly named or disconnected from the relevant case. Resolve those issues while the provider's delivery team is available.
Close the commercial record
Reconcile provider invoices, agreed changes and relevant external receipts. Record any disputed charge separately from acknowledged completion so neither issue disappears into a broad sign-off. Identify recurring support that will continue under a separate or renewed arrangement.
The final acknowledgement should state what has been accepted and which actions remain. This gives the founder an operationally usable record and gives the provider a clear basis for closing its work. It also makes a later change of administrative provider possible without reconstructing the company's history from private message threads.
