Identify what changed and why
Write the requested change against a specific file and version. Explain whether the issue is an error against the approved brief, a newly supplied fact or a different commercial preference. This gives the agency a basis for deciding what work is required without arguing from vague descriptions.
For a wording change, provide the exact approved replacement text. For a visual change, explain the communication problem rather than prescribing a series of disconnected adjustments. The agency can then consider whether the proposed edit solves the underlying issue across all affected formats.
Find every affected asset
Ask the agency to list the files that use the changed information or design element. A product name may appear in a brochure, presentation, image caption and translated advert. Correcting only the file attached to an email can leave inconsistent material in circulation.
Separate assets still in design from those already sent to print or publication. Each has a different recovery route. Record whether an earlier version must be withdrawn, replaced or marked obsolete, and assign responsibility for doing so in the client's own channels.
Approve cost and timing consequences
Require a short impact statement before additional work begins. It should identify the change, affected deliverables, fee if applicable and revised approval dates. Where a deadline cannot move, ask what scope or sequence would need to change.
Use the agreed revision terms to distinguish agency correction from client expansion. If the original brief was ambiguous, resolve the practical next step rather than allowing a prolonged debate to consume the remaining production time. Update the brief so the same ambiguity does not recur.
Recheck the integrated result
A small edit can alter line breaks, page flow or visual emphasis. Review the final designed version, including language adaptations, instead of approving only the replacement text. Ask the agency to confirm that the change has reached every identified file.
Close the request by updating the version register and approval record. Good change control does not prevent creative development. It ensures that everyone knows which decision is current and that the business pays for deliberate improvements rather than repeated confusion over outdated instructions.
