Select a representative case set
Choose a small set reflecting the administration the employer actually expects to buy. Avoid using only the simplest cases if the planned account includes more coordination or several internal approvers. Define which capabilities the pilot will test and which remain outside its scope.
Give the provider the same authorised instructions and document-transfer controls intended for the ongoing account. Do not relax information handling or payment approval merely because the purchase is called a trial. Employees should know the approved route for providing requested information.
Observe the completeness check
Retain the provider's initial checklist and record any additional requests. Ask whether a later request results from a newly identified requirement, changed information or an omission in the original check. These causes should not be blended together.
For a hypothetical case with an unclear source document, observe whether the provider asks for clarification or proceeds on an assumption. The useful result is accurate preparation with visible uncertainty, not a superficially fast submission that creates rework later.
Test the employer's visibility
Ask HR to locate the current stage, last completed action and next owner without contacting the sales representative. If the provider offers a dashboard, check the meaning and freshness of its statuses. If it uses a simpler register, assess whether that record is equally usable.
Include a genuine instruction change if one arises during the pilot. Record whether the provider explains the effect on work and fees before proceeding. Do not manufacture unnecessary applications or unsafe scenarios simply to create a test.
Close the commercial and document loop
Reconcile the invoice, accepted scope and relevant supporting receipts. Confirm that final issued records and outstanding actions are indexed for the employer. A case is not a successful pilot merely because an approval arrived if the buyer cannot obtain an understandable handover.
Review findings with HR and procurement. Decide whether to expand within the tested scope, require a specific correction or choose another provider. Record any dependence on an unusually senior staff member during the trial. Expansion should rely on the normal delivery model the provider will actually use for the recurring account.
