Match the delivery to the current order
Check the product reference, manufacturer or source, grade, dimensions and pack quantities as applicable. Use the latest approved material schedule and accepted changes. Record partial deliveries and the outstanding balance so a missing item is not lost after the invoice is processed.
Clarify unit conversions before signing quantities. A pallet count, box count and project measurement may describe different aspects of the same shipment and should not be used interchangeably without the agreed conversion.
Preserve relevant identification
Capture batch, lot or other product identifiers required by the project's controls. Link them to the delivery and storage location. Retain labels or records through an appropriate method before packaging is discarded or material is split into smaller quantities.
For example, identical-looking finish products from different batches may be distributed across several rooms. Without a receipt and location record, a later matching or quality question can be much harder to investigate.
Keep technical release separate
Have the responsible project role apply the required inspection and evidence review. Keep unresolved material identifiable under the site's established procedures. Purchasing or delivery staff should not override a technical hold to avoid delaying the vehicle.
Notify the trader with the affected product, order reference and observed discrepancy. Ask for a specific next action, whether that is missing documentation, investigation, collection or replacement.
Before stock is moved between work areas, preserve the reference needed to connect it to the original receipt. The record becomes less useful if material is split or repacked without an agreed method of retaining its identity.
Reconcile stock and commercial closure
Record accepted quantities, held items, returns and credits separately. A collected load does not automatically settle the account, and a credit note does not establish that all affected material left the site.
Retain the final receiving and release record with the relevant product evidence. This gives the project a clear connection between what was approved, what arrived and what was used. It also makes supplier performance more meaningful than a simple tally of delivered loads that ignores identification and acceptance problems discovered after unloading.
