Create one controlled request register

Assign an internal owner to consolidate document requests, identify overlaps and direct questions to the right business contact. Keep the requesting adviser's purpose visible so a superficially similar request is not deleted when it actually serves a different assessment.

Use clear entity names, periods and version references. A single folder containing several files labelled final can increase work rather than reduce it if advisers cannot establish which records management has approved for use.

Sequence work around dependencies

Ask the team which assumptions need confirmation before related analysis or drafting is finalised. Plan review points at those interfaces. Starting every task immediately may feel efficient while creating avoidable revision when a central fact changes.

For example, the financial team may build several scenarios while counsel is still assessing a contractual question. That can be useful when deliberate, but the business should know the reason and the effect on fees rather than assume all provisional work will remain applicable.

Keep meetings decision-focused

Circulate issues requiring input before a coordination meeting and record owners afterward. Avoid bringing every adviser to every discussion when only one workstream is affected. At the same time, include the relevant professionals when a decision changes their assumptions.

The aim is not a blanket reduction in meeting hours. A short cross-workstream discussion can prevent substantial rework if it resolves an inconsistency that would otherwise reach the final deliverables.

Report efficiency with evidence

Track resolved duplicate requests, avoided version confusion and completed interface decisions where records support them. Do not claim environmental or financial savings merely because the project uses fewer printed documents or holds fewer meetings. Quantified claims need an appropriate basis.

Use the review to improve the next engagement's document plan and scope map. Efficient coordination preserves the advisers' ability to ask necessary questions and reach independent conclusions while reducing the administrative confusion that does not improve those conclusions. It should make the professional work easier to follow, not pressure the team to shorten analysis that the matter genuinely requires.
