Renewing a UAE business setup and PRO support contract

In brief

A company that initially bought formation support may later need a different administrative service. Renewal should reflect the current case mix, internal resources and record-access needs rather than automatically continuing the original package. Use the completed engagement to identify what the provider does well and where the company has been supplying unplanned coordination.

A company that initially bought formation support may later need a different administrative service. Renewal should reflect the current case mix, internal resources and record-access needs rather than automatically continuing the original package. Use the completed engagement to identify what the provider does well and where the company has been supplying unplanned coordination.

Describe the next period's workload

List expected services and distinguish recurring cases from occasional changes or specialist questions. Ask the provider to state what falls within its proposed retainer or package and what is charged separately. Keep forecasts separate from minimum commitments so the company does not unknowingly buy more administration than it needs.

Review whether the original formation tasks are complete. Pending applications or missing handover records should remain visible and should not be quietly absorbed into a new contract without a clear responsibility and commercial explanation.

Examine the service record

Review avoidable corrections, usefulness of updates, invoice accuracy and final-document handovers. Ask HR or the founder how much chasing was required and which cases repeatedly became unclear. Use examples from the case register instead of relying only on a recent good or bad interaction.

Separate delays caused by missing company inputs from provider preparation or communication failures. A fair review recognises the difference while still requiring a workable plan for coordinating all dependencies.

Assess the renewal proposal

Ask the provider to explain changes in fees, team or delivery partners. Price a representative next-period case mix and test the treatment of a plausible change. If an improvement is promised, define the revised checklist or reporting method and the evidence that will show it is working.

Consider alternatives where the current scope no longer fits. Switching has a practical coordination cost, but that cost should be described rather than used as an unexamined reason to retain an ineffective arrangement.

Prepare continuity or transition

If renewing, update authorised contacts, payment approval rules and the case-status record. Schedule an early review of the agreed corrections so problems can be addressed during the term rather than rediscovered at the next renewal.

If changing providers, obtain an indexed handover of issued records, pending cases and external dependencies. Transfer information through the company's approved controls and clarify who completes work already in progress. Continuity should rest on usable company records, not on one consultant being the only person who understands the administrative history. Document why the selected arrangement fits the next period and what its approval does not cover.
