Define the service and responsible entity
List the activities covered and identify which legal entity performs them. Separate technology availability from the underlying financial service where different parties are involved. Have the company's relevant reviewers confirm the contractual and regulatory scope.
State the information required for a valid instruction and the authorised roles permitted to submit or approve it. The provider should support the company's controls rather than encourage shared access or informal workarounds when staff are absent.
Make statuses meaningful
Ask the provider to define acknowledgement, acceptance, rejection, pending and completion as applicable to its actual service. Identify the evidence and reporting available for each. A submitted instruction should not be presented as settled or completed unless that meaning is supported.
For a hypothetical supplier-payment query, finance needs a stable identifier and a clear explanation of the current stage. A generic processing message may be insufficient where the company must decide whether another action is appropriate.
Design exception escalation
Define who investigates a failed transaction, disputed charge or unavailable report and how the buyer is updated. Identify dependencies on another organisation without allowing the issue to become an unowned referral between providers.
Keep the company's normal authorisation process for any repeat or corrective instruction. An urgent support conversation should not cause an unreviewed duplicate transaction or expanded user permission.
Review reporting and closure
Include reconciliation outputs, fee records and access-administration support where purchased. Define what closes an incident and how a recurring issue is linked to its history. An administratively closed ticket is not proof that the finance team's underlying discrepancy is resolved.
Measure provider-controlled actions fairly and retain external dependencies. Do not imply that service credits or response targets guarantee protection from every business loss. Material risk allocation belongs in the appropriately reviewed contract.
The SLA should give the authorised operating team enough information to manage the service and obtain evidence when it fails. It should preserve the distinction between a platform's visible status and the actual financial outcome, while making communication and responsibility clear across the service chain the company has agreed to use.
