Choose scenarios that cross real boundaries

Include an outpatient booking query, a planned-admission administration question where relevant and a billing issue involving another facility. Use fictional names and non-clinical details in a suitable walkthrough or test environment. Avoid placing unnecessary appointments or invented clinical information into live care systems.

Ask the network to use the normal roles and channels proposed for the agreement. A demonstration managed entirely by senior sales staff may not reveal how local booking and finance teams will handle routine requests after launch.

Check routing and information needs

Observe which team receives the request, what information it needs and who owns the next step. Identify clinical questions that belong directly with the patient and provider. Have privacy and legal reviewers assess any proposed employer data flow that appears broader than necessary for administration.

For example, a network account team may ask the employer to obtain information that should be supplied directly through a clinical channel. The walkthrough can correct that handoff without involving real employee records. The revised process should explain both the appropriate recipient and the administrative status visible to the buyer.

Test payment explanations and reconciliation

Ask the provider to explain the funded scope, exclusions and route for individual payer confirmation in each scenario. Check consistency between central account guidance and local facility messages. Request fictional invoices to test references, group entities and the minimum detail needed for reconciliation.

Walk through a disputed charge and a changed facility. Confirm how the original record is preserved, who investigates and how a correction reaches the buyer. A central dashboard is not sufficient if no team can resolve the underlying account question.

Approve only demonstrated administration

Record successful steps, gaps, corrections and untested pathways. Facility verification and clinical-quality review remain separate qualified activities. Repeat the affected scenario after a material process change. A readiness test provides evidence that the commercial arrangement can operate coherently across the network, without implying that a successful administrative demonstration establishes clinical excellence or guarantees individual coverage and care outcomes.
