Define the employer's case mix

Estimate the expected workload without presenting a forecast as a guaranteed volume. Include variations that affect coordination, such as employees in different locations or cases requiring several internal approvals. The provider should explain how it allocates a case owner and prevents a busy period from turning into an unstructured queue.
Test the employee-information workflow
Ask how a new case is opened, which documents are requested and who confirms completeness. Require the provider to explain the secure transfer and access arrangements rather than sending employee records during the initial sales comparison. A blank checklist or sanitised demonstration can show the method without exposing another client's information.
Use a hypothetical employee case with one missing document and a changed start date. Ask the provider to show what the employer sees: completed steps, missing input, next action and any revised cost. An account dashboard is useful only if the underlying statuses have clear meanings.
Check approval and escalation boundaries
Identify who in the employer's organisation may request work, authorise an additional charge and approve a material change. The employee supplying documents should not automatically become the person authorised to purchase extra services. Confirm how the provider handles conflicting instructions from an employee, HR contact and manager.
Ask who acts when the normal account manager is absent. A growing account should not depend on one person's private messages as the only case history.
Make the initial allocation informative
Start with a bounded set of representative cases and review completeness, avoidable corrections, useful updates and final handovers. Reconcile receipts and invoices before expanding the volume. Record what was tested and what remains uncertain.
