Define who can request and approve a change
Name the internal accommodation coordinator and the person authorised to approve additional commitments. Give the resident a clear way to communicate a need without unintentionally entering a new commercial agreement. Confirm the provider's authorised contact for issuing revised booking details.
Record the requested dates, reason for the change and any requirements that remain essential. If the organisation does not yet know the final departure date, ask for the available options and their consequences rather than inventing a precise date for administrative convenience.
Obtain a revised confirmation
Ask whether the same unit remains available and whether the price or inclusions change. If a move is required, obtain the alternative accommodation details, transfer arrangements and responsibilities for associated costs. Have material contractual changes reviewed through the organisation's usual process.
Reconcile the new confirmation with the original booking. The record should make clear which dates and terms have changed, avoiding two apparently valid confirmations that describe different arrangements.
Handle substitutions as a separate decision
Compare a proposed substitute with the essential requirements, including location, occupancy, access and services. Do not accept the label “equivalent” without understanding the actual differences. Where an employee's requirements have changed, assess the new accommodation against the revised brief.
For example, a project extension may be possible only in another building with a substantially different commute. The accommodation price alone does not capture the effect. Ask the project coordinator to assess transport and working arrangements before confirming the move.
Close the financial and operational loop
Update arrival or departure instructions, the internal booking register and any connected transport arrangements. Ensure that the invoice reflects the authorised change and that the original unit's checkout is documented where a move occurs.
After the change, check whether the revised arrangement was delivered. Repeated last-minute moves or unclear extension pricing may indicate that the supplier is unsuitable for assignments with uncertain end dates. Use that evidence when allocating future bookings, and retain the change history so later charges can be traced to a specific, approved decision.
